Getting started

How do I get started?

Create your account, confirm your email, then add your business address and pick a plan. The Getting Started guide walks you through the rest, from adding your crew to sending your first quote.

Who is FieldFoxx for?

Small field service businesses such as lawn care, landscaping, cleaning, HVAC, plumbing, electrical and handyman shops, from a one-person operation to a growing crew.

How long does setup take?

You can send your first quote as soon as your company details and one client are in. Payments, QuickBooks and Mailchimp can be connected later, whenever you're ready.

Is there an app to download?

No download needed. FieldFoxx works in the web browser on any phone, tablet or computer. On a phone, add it to your home screen and it opens like an app.

Do I have to send a quote before an invoice?

No. Send a quote when the customer needs to approve the price first. For regular or already-agreed work, schedule the job and invoice it when it's done.

Can I import my customer list?

Yes. On the Clients page, use Import customers: download the CSV template, fill it in and upload it. Only the name is required. You can also include email, phone, address, lead source, tags and notes.

Pricing & billing

How much does FieldFoxx cost?

FieldFoxx costs $25 per month for up to 3 team members or $125 per month for unlimited team members. Both plans include recurring jobs (weekly or bi-weekly), QuickBooks Online sync, and Mailchimp sync.

Is there a free trial?

Yes. Every plan starts with a 30-day free trial with no credit card required. The trial waives the monthly subscription fee.

What does FieldFoxx charge on online payments?

FieldFoxx charges a 3% platform fee on online card payments, on top of Stripe's standard processing fee. This fee applies to all online card payments, including during the free trial.

Do checks and cash payments have fees?

No. The 3% FieldFoxx fee applies only to online card payments. Checks and cash are free.

What is Stripe's processing fee?

Stripe charges standard payment processing fees (typically 2.9% + 30¢ per successful card charge in the US, but rates vary by country and payment method). Visit Stripe's pricing page for current rates.

Can I cancel anytime?

Yes. You can cancel your subscription at any time from Settings. There are no long-term contracts or cancellation fees.

Do I need a credit card to start the trial?

No. You can start your 30-day free trial without providing a credit card.

What happens after the free trial ends?

After 30 days, you'll need to add a payment method to continue using FieldFoxx. You can choose the Individual or Business plan at that time.

Can I switch plans later?

Yes. You can upgrade from Individual to Business at any time from Settings. Your billing will be prorated.

Are there per-user fees?

No. The Individual plan includes up to 3 team members for $25/mo flat, and the Business plan includes unlimited team members for $125/mo flat.

What's the difference between Individual and Business?

Individual is $25 a month for up to 3 team members, including you. It includes reports, recurring jobs, the crew app, the client portal, and QuickBooks and Mailchimp sync. Business is $125 a month for unlimited team members, and adds the Leads pipeline with email threads and tasks, plus priority support.

Payments

How do my customers pay me?

Once online payments are on, customers can pay invoices and quote deposits by card from the email or from their client portal. You can also record cash and check payments yourself.

How do I turn on online payments?

The account owner goes to Settings, then Online Payments, taps Connect Stripe account and finishes Stripe's steps. FieldFoxx also does a quick business review before payment links go live, and the status shows on that same card.

Where does the money go?

Card payments go to your own Stripe account, minus fees, and Stripe pays out to your bank on its regular payout schedule. FieldFoxx doesn't store your bank details.

Can I collect a deposit?

Yes. Add a deposit to a quote as a dollar amount or a percent. Customers can pay it online when they approve, or you can mark it paid by cash or check. The deposit is credited on the final invoice.

How do I record a cash or check payment?

Open the invoice and tap Record payment. Choose cash, check or other, add a check number if you like, and save. Part payments work too. There's no fee on payments you record.

Can I refund a payment?

Yes. Open the paid invoice and use Issue refund for all or part of a card payment. The money goes back to the customer's card through Stripe.

Can FieldFoxx remind customers about unpaid invoices?

Yes. Turn on Invoice Reminders in Settings to email customers about unpaid invoices. You can also tap Send payment reminder on any overdue invoice.

Can I invoice several jobs at once?

Yes. On the Invoices page, tap Invoice completed jobs, pick the jobs, and FieldFoxx creates one invoice for each. Email them right away or review the drafts first.

Can customers pay by bank transfer, autopay or tap-to-pay?

Not currently. Customers pay by card online, and you can record cash and check payments. Bank transfers (ACH), saved cards for automatic payments and in-person tap-to-pay aren't available right now.

Scheduling & crews

Can I schedule recurring jobs?

Yes, on every plan. Check Recurring job when you create a job, then choose Daily, Weekly or Monthly and how often. For every other week, choose Weekly and set Every to 2. Let it repeat or set an end date.

What happens on a rain day?

On every plan, tap Weather day to move that day to another date or push the rest of the week back one day. You see each crew's load before you confirm, repeat visits stay on their normal schedule, and each client gets one text or email with the new date. Crews can also skip a visit with a reason, and you can let customers skip or pause visits from their portal.

Can customers skip or pause visits?

Only if you turn it on. In Company Settings, you can let customers skip a visit or pause visits from their client portal, up to a cutoff you set (24 hours before the visit by default).

How do I move a job to another day or crew?

Drag it on the Dispatch board, or open the job and change the date or crew. On a phone, Dispatch has a tap-to-assign mode.

What do my crew members see?

Technicians get My Day: their assigned jobs for today, tomorrow or this week, with directions, job notes and checklists. They don't see quotes, invoices or the dispatch board.

What roles can I give my team?

Admin helps run the business, Member handles office work like clients, quotes and invoices, and Technician is for field crew. Only the account owner can manage the subscription, online payments, QuickBooks and Mailchimp.

Can crews get directions for the day?

Yes. My Day can sort stops by time or by shortest drive, and Start route in Google Maps opens the next 10 stops in order.

Can my crew tell customers they're on the way?

Yes. Tap On My Way on the job and the customer gets a text or email with an ETA letting them know you're headed over.

Does FieldFoxx track crew hours?

Yes. Time starts when a crew member taps Start Job and stops at Mark Complete. Owners and admins see team hours in Reports.

Clients & communication

Do my clients need to create an account?

No. Each client has a private portal link, found on their client page, where they can approve quotes, pay invoices and see their jobs. No password needed.

How do clients approve a quote?

They open the quote from your email or their portal, choose any optional add-ons, and approve it online. If you asked for a deposit, they can pay it right there.

Can new customers request work online?

Yes. FieldFoxx gives you a Request page link to put on your website or social pages. New requests show up under Requests so you can follow up and quote them.

Do clients get a reminder before each visit?

Yes. Clients get an automatic reminder by text or email the day before each visit, including recurring visits. You can turn this off in Company Settings.

Where do client replies go?

When a client replies to a quote, invoice or reminder email, it goes to the Reply-to email in Company Settings. Leave it blank and replies go to your login email.

Do emails show my business name and logo?

Yes. Customer emails come from your company name, and your logo appears on quote and invoice emails once you upload it in Company Settings.

Does FieldFoxx text my clients?

Yes. FieldFoxx sends automatic texts for visit reminders the day before, when your crew taps On My Way, and when you move a visit for a rain or heat day or skip one, if you choose to let the client know. Clients who don't have a mobile number on file, or who opted out of texts, get the same message by email.

Will clients be told when I move or skip a visit?

Yes, if you choose to. When you move a day's visits with the Weather day button or skip a visit, check the box to let clients know. Each affected client gets one text with the new date or the reason for the skip, or an email if they can't get texts. Their regular schedule stays the same.

What do I need for a client to get texts?

A mobile number on the client's page. Texts go to the Phone field you save for each client, so keep it up to date.

Can clients stop text messages?

Yes. Clients can reply STOP to any text to opt out. They'll still get emails.

Integrations

Does FieldFoxx work with QuickBooks?

Yes, with QuickBooks Online, on every plan. The account owner connects it in Settings under Accounting Sync, then taps Sync paid invoices to send paid invoices, and the customers on them, to QuickBooks. Sync runs when you tap it, 25 invoices at a time, and a one-time import can bring over older paid invoices.

Does FieldFoxx work with Mailchimp?

Yes, on every plan. The account owner adds a Mailchimp API key and audience in Settings under Email Marketing, then syncs clients. Client tags can put different clients in different audiences.

Do I need a Stripe account?

Only to take card payments online. The account owner taps Connect Stripe account in Settings and follows Stripe's steps. Without Stripe you can still use everything else and record cash and check payments.

Data & security

Who owns my data?

You do. You keep ownership of your business and customer data, as our Terms of Service say.

Can I get a copy of my data?

Yes. Email support@fieldfoxx.com and we'll help you export it.

Privacy policy

Do you store card numbers?

No. Card payments are handled by Stripe. FieldFoxx doesn't store full card details or your bank details.

What if a phone is lost or someone leaves?

The owner or an admin can remove that person from the Team page. You can also use Log Out All Sessions in Settings under Security to sign your own login out everywhere.

Switching from another app

How do I switch from another app?

Export your customer list as a CSV from your old app and import it on the Clients page. Then set up your recurring jobs, and send new quotes and invoices from FieldFoxx going forward.

Getting Started guide

What can I import?

Customers: name, email, phone, address, lead source, tags and notes. Jobs, quotes and invoice history don't import, so keep your old records handy for reference while you switch.

Can I try it before I move everything?

Yes. The 30-day trial has no monthly fee and needs no card, so you can run a few real jobs in FieldFoxx before you switch over.
